How is a "seat" counted?+
A seat is one named user โ a paramedic, dispatcher, biller, coder, or admin. Read-only viewers (chiefs, training reviewers, board members) are 50% off seat price. Service accounts (API users) are free up to 5 per agency.
Can I downgrade or cancel?+
Yes. Month-to-month on Starter and Pro โ cancel any time, prorated refund. Annual contracts get 15% off in exchange for a 12-month commitment. Enterprise contracts are typically 2-3 years.
What if I exceed 10 seats on Starter?+
You'll get a notice at 80% of your seat limit. We'll auto-upgrade you to Pro at the start of your next billing cycle, or you can stay on Starter and remove unused seats first.
Is there a setup fee?+
No setup fee on Starter (self-serve). Pro includes 2 weeks of white-glove onboarding free. Enterprise includes a dedicated implementation team โ typically 4-8 weeks, included in contract.
How does Managed RCM stack with the seat fee?+
They're separate. The seat fee buys you the platform (software). Managed RCM is a service we provide on top โ our team operating Klaxar on your behalf. Most Pro customers run their own billing in-house. Most Starter customers add Managed RCM.
Do you offer discounts for non-profit, volunteer, or tribal agencies?+
Yes. Volunteer-only fire departments get 50% off Starter. Federally-recognized tribal EMS gets 50% off any tier. Federal Letter of Intent available for grant submissions.
What payment methods do you accept?+
Credit card (Stripe), ACH, and government PO. Annual + multi-year contracts can be invoiced. We're on most state procurement vehicles via NASPO and our reseller network.
Where does my data live?+
AWS us-east-1 (Virginia) by default. AWS GovCloud available on Enterprise. On-prem option available on Enterprise. All data stays in the US. BAA covers Supabase, Anthropic, Resend, Twilio, Stripe.
